Software Systems offers a complete suite of professional implementation services to assist your organization in making the most out of the software we provide to you. Our Professional Services include Project Management, Analysis, Data Conversion, Installation, Training, and of course, On-Going Support. We assist you in every step of the way, from help in choosing the right hardware to "beyond the call" coordination with other vendors that are a part of the project. We want to make sure it's all done the right way, the first time through.


Project Management

Effective adoption of a new financial or billing software system is first and foremost based on good planning, good communications, and helping to drive strong customer and organizational commitment for the new system. That's what our Project Management philosophy is all about.

After discussing goals, timelines, requirements, personnel and potential roadblocks to the project, we work with the customer to develop a flexible Project Plan that promotes communication and accountability from all involved parties. We define specific milestones and benchmarks to measure success within the project, and we meet often to discover how well we're all tracking toward success. We identify missed milestones early on to minimize their impact, and we report regularly to the Board to review the progress made. And lastly, we put planning in place to focus attention on the users of the new environment because it is they who ultimately provide the success or failure of the project.

Analysis

To know where an organization is going with new financial software, goals need to defined, understood, and agreed upon. To know how to get there, professional service providers need to know where the organization has been. Analysis Services allow us to gain this understanding by learning the business practices of an organization. Many of these practices might be changed or eliminated by the new system. We analyze how you do your jobs with the existing software tools you currently use. We ask the 'why' questions on every process we uncover. We then build a map from your old processes to your new ones so that everyone will know how to do their job when the new software is implemented.

Along the way, we document these new business practices so you'll have a complete User's Guide, just for your individual installation. This approach gives all of us, both our implementation team and all the users, a chance to review these new processes to make sure they are clearly defined, clearly understood, and accomplish the goals set out by the customer.

Data Conversion

By far the largest investment you have in a financial software package is not the license fee or the services to implement it. Your greatest investment is in the financial data within your existing system. It is irreplaceable and it must be handled with care and skill so that the new environment starts off with accurate and well-placed information.

Software Systems makes a real commitment to assure the data that is to be converted from your old environment is appropriately handled.

The Data Conversion staff at Software Systems has the experience and ability to convert just about any existing data files. However, it is important to remember that not all data can or should be converted. The data that is converted is always reconciled against solid summary information so that we know when we've done the job right. And we convert in two passes so that you can "test drive" the software before we go "live". It's one more way we assure complete and total satisfaction.

Installation

Installation is the process of making the new system available to the users. The users must be able to enter data, view screens, print reports, and access or save files.

All of the software products that we implement are installed in one of three ways:
  • Standard installation, where we install in-house at your facility in the traditional software installation process;
  • ASP (Application Service Provider) installation, allowing your facility to be free from the responsibilities and costs of potentially expensive and hard to maintain Server hardware;
  • SaaS (Software as a Service) installation, allowing your site to "pay as you go" and avoid costly up-front license fees.
Standard Installation Service

Standard installation puts the software and the database on your Server at your location. This is the traditional method and it works well for many customers. Our skilled consultants have the experience and certifications required to install and configure your network related hardware or software products. Software Systems completes a thorough installation process that includes:
  • Plan and confirm schedule and resources with the Customer
  • Establish delivery and installation dates
  • Verify completion of pre-installation tasks
  • Plan and confirm system setup requirements with customer
  • Verify supported configuration
  • Complete verification testing and confirm customer acceptance
ASP and SaaS Installation Services

ASP and SaaS installation puts the software and the database onto our ASP Server at our offices. Your access to the software is through a safe and secure web site that lets you log into your desktop and then into your application. It uses an SSL portal coupled with Citrix, so it's completely safe and secure. It's easy to access, safe to use, and less expensive for the customer. And it provides "24 by 7" access from almost any PC in the world. You can even work from home!

One of the big advantages of this type of installation is a lower cost of installation, because it's all done in our office. Our installation team doesn't have to travel to your site to install any hardware or software. There's no disruption at your place of business and no travel costs are incurred.

Another big advantage to this type of installation is a smaller up-front commitment to hardware - there's no need for your organization to invest in a server. All the ancillary costs of a Server are gone as well: maintenance, software, backup tapes, repair bills, etc. We do it all for you. You just go to our web interface and log in!

Training

Software Systems offers professional Training Services in a number of different ways to accommodate customer schedules and to provide efficient, effective training on our products:
  • On-site training at your location;
  • In-house training at our training facility;
  • On-line training via the web in one-on-one sessions; and
  • On-line training to groups of customers.
All training is delivered in the same manner - a specific agenda is defined and delivered to the customer at least three days prior to the delivery of the training. This agenda defines the goals of the training, the information that is to be covered during the training session, and a description of the assumed preparation of the trainees and the materials that need to be assembled in preparation for the training services.

Our professional Training staff prides itself on its preparation for training our customers in as an effective and efficient manner possible.

On-going Support

Good support means accurate, timely, thoughtful responses to the questions, issues, problems, and occasional emergencies that our customers present to us. We guarantee our response time to your message (voicemail or email) to always be, at a maximum, no more than two hours. We've been supporting customers for more than twenty years and we know that when a customer needs help and has decided to contact us for a support issue, they do not want to wait - they want an answer now. That's our goal.

Other services that we deliver to our customers through the Support Services area include our Annual Seminar Series and our Monthly Archive Service. The Software Systems Annual Seminar Series began in 1989 as a series of user meetings across Pennsylvania (our home state). We now hold four separate meetings annually for all of our PA customers. The Monthly Archive Service provides our participating customers with a Disaster recovery Option that is straightforward, inexpensive, but very effective. This program has been in existence for almost 20 years as well.
